Executive Secretary

Job Duties

  • Provide comprehensive secretarial support to the Senior Executive (C-Level);
  • Calendar management and associated tasks such as booking conference rooms, audio visual equipment, documentation, meeting scheduling etc;
  • Co-ordinate internal and external meetings, teleconferencing, videoconferencing, property visits and corporate events;
  • Screening phone calls, enquiries and requests and handle them as appropriate;
  • Filing, invoicing and processing of expense claims and related record-keeping;
  • Maintain files, order supplies and prepare responses to correspondence of routine inquiries;
  • Coordinate the logistics and arrangements for business travels/trips of the Executive;
  • Prepare minutes and consolidate reports when required;
  • Handling of confidential stuff when required.

Requirements

  • At least 8 years relevant experience gained from supporting a Senior Executive within a financial services or listed real estate organisation, an advantage;
  • Able to work under pressure, follow-through and resolve problems;
  • Excellent interpersonal skills, well-organized, independent and fast-learner;
  • Strong Microsoft Office capabilities in Word, Excel and PowerPoint;
  • Excellent command of both oral and written English and Chinese. Business Putonghua is an advantage;
  • Proactive, attentive, meticulous and patient.
