Senior Clerk - Legal

Role Objective

This role supports the Legal Data System function of the Legal department by ensuring the accuracy, integrity, accessibility and safekeeping of tenancy-related documents and legal records. The incumbent will also support other Legal team functions as required.

Job Duties

  • Manage electronic records of tenancy-related documents in the Contract Management System (“CMS”), including data input, testing, data clearance, and verification
  • Handle physical document storage, retrieval, release, return, and coordination with business units
  • Prepare various reports including CMS reports, guarantee reports, data worksheets and stock-taking reports, ensuring completeness, accuracy and compliance with internal requirements
  • Conduct regular stock-take of physical storage locations (onsite and offsite) in accordance with the relevant procedures and guidelines
  • Administer CMS user access rights, including account creation, deletion and periodic access reviews
  • Support other Legal team functions, including tenancy, corporate legal and litigation matters, stamping and registration tasks, and other ancillary tasks based on operational needs
  • Perform Legal team administrative support, including invoice upload and data input

Requirements

  • Form 7 or above
  • One to three years of clerical, records management, document control, document storage systems and/or database administration experience
  • Meticulous attention to detail, well-organised, responsible and able to work independently with minimum supervision
  • Able to handle confidential and sensitive documents with care, discretion and a strong sense of accountability
  • A good team player with effective communication and interpersonal skills
  • Good command of spoken and written English and Chinese
  • Proficient in Microsoft Office tools, including Word, Excel and Teams, Chinese and English word processing, Adobe Acrobat and e-Signing tools
  • Exposure to AI-assisted tools, document management systems, data extraction technologies or ERP systems would be advantageous
